We are seeking a highly organized and experienced Senior Secretary, preferably an Arabic speaker, to support our Managing Director. The ideal candidate will have over 5 years of experience in a similar role, providing high- level administrative support, managing schedules, and handling confidential information with discretion. Key Responsibilities : Administrative Support : Provide comprehensive administrative support to senior management, including handling correspondence, scheduling meetings, and preparing reports. Document Management : Create, organize, and maintain both electronic and physical filing systems. Ensure documents are easily accessible and secure. Communication : Serve as the primary point of contact for internal and external communications. Draft, edit, and distribute professional correspondence. Scheduling : Manage and coordinate calendars, appointments, and travel arrangements. Ensure efficient time management and prioritization of tasks. Meeting Coordination : Plan, organize, and facilitate meetings, including preparing agendas, taking minutes, and following up on action items. Confidentiality : Handle sensitive and confidential information with utmost discretion and professionalism. Office Management : Oversee office supplies inventory and order as necessary. Ensure the office environment is organized and professional. Project Assistance : Support special projects and initiatives as needed, providing research, coordination, and administrative assistance. Customer Service : Provide excellent customer service to clients, visitors, and staff, addressing inquiries and resolving issues promptly.
Qualifications:
Experience : Minimum of 5 years of experience in a secretarial or administrative role, preferably in a corporate or professional setting. A degree or diploma is required; additional qualifications in office administration or related fields are highly desirable. Technical Skills : Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is essential. Familiarity with office management software, such as Zoho, is also required. Communication Skills : Excellent written and verbal communication skills. Ability to interact professionally with all levels of staff and external partners. Organizational Skills : Strong organizational and multitasking abilities. Attention to detail and accuracy in work. Problem-Solving : Ability to anticipate needs, identify issues, and implement solutions effectively. Discretion : Demonstrated ability to handle confidential information with integrity and professionalism. Adaptability : Flexibility to adapt to changing priorities and handle unexpected tasks with a positive attitude.
