Student Affairs IT Specialist (NAC#270923)

Job Summary
The Scheduling Specialist is responsible for scheduling all classes, assigning rooms, calculating the number of course events (same-course sections) needed based on enrolments, and adjusting scheduled course times when necessary. Staff scheduling specialists coordinate the course dates for all courses offered and contact colleges regarding their schedules. Colleges and faculty liaise with the scheduling office to plan their semester schedules.

Primary Duties & Responsibilities

Determine schedules and coordinate with colleges and individual faculty requests based on student enrolments & subject expertise
Train of college and department personnel on the class scheduling application system.
Schedule all courses and lectures for assigned campus location and, when necessary, for other campuses
Create course schedules for all degree programs in SIS
Coordinate and revise schedules in consultation with university colleges and departments
Communicate effectively with faculty and college administrators in English
Reserve event rooms for optimal planning taking into consideration course schedule, room size and availability, student numbers, and lecturer needs, in compliance with safety requirement
Enter and manage data in the student information system Banner and archive relevant information
Set up / modelling of new study programs and adaption of existing ones in the University SIS
Create and maintain the final exam schedule for all classes
Collaborate with team in using data to provide solutions and recommendations to college schedulers to optimize classroom utilization
Collaborate with the registration team, and technology support teams in oversight of registration cycles, dates and deadlines, priority registration, and all system processes related to registration; ensure that registration systems function correctly
Establish teaching assignments for adjunct lecturers and ensure onboarding

Education & Experience
Bachelor’s or Master’s degree in a relevant field (Computer Science, Engineering, Information Systems etc.) or related field.
3-7 years of related and relevant experience, preferably in an educational institution or acceptable equivalent. ideally, user knowledge of Banner or in SIS system
Strong conflict resolution skills
Excellent written and spoken language skills in English
Excellent organizational & planning skills
Strong analytical & problem-solving skills
Ability to work in a fast-paced environment
Ability to work effectively in a multicultural environment
